Managing Personnel Information

Personnel Management is a foundational user management capability of COC, providing O&M teams with centralized control and maintenance of platform user information under Huawei Cloud accounts. It enables you to manage all users and their associated basic information under your Huawei Cloud account. The feature automatically integrates users from the current Huawei Cloud account and presents their basic information in a structured, easy-to-navigate registry. This gives administrators a comprehensive overview of team members and supports centralized governance. Administrators can edit user information in real time—such as updating contact details or configuring preferred notification channels—to ensure data accuracy and timeliness.

This section describes how to manage personnel information under a Huawei Cloud account using COC.

Prerequisites

Before synchronizing personnel information, you need to create an IAM user and assign permissions to the user on the IAM console.

Precautions

  • After adding or modifying personnel information, wait for 10 minutes before performing service operations that need to trigger notifications. Otherwise, notifications may become invalid because data synchronization is not complete.
  • If a subscription is canceled on a terminal, the subscription status is displayed with a delay of one day. During the delay period, service operation notifications associated with the subscription are not triggered.

Synchronizing Personnel Information

The system automatically synchronizes personnel information every 10 minutes. To avoid delayed synchronization after modification, you can manually synchronize personnel information.

  1. Log in to COC.
  2. In the navigation pane, choose Basic Configurations > Personnel Management.
  3. Click Synchronize Engineer Info.

    The system obtains all user information under the Huawei Cloud account and synchronizes the information to the personnel management page of the COC platform for viewing and management.

Adding a Federated User

If you log in to COC as an IAM virtual user via SSO, you need to manually add the username to use COC functions. For details about the data source types of each login user, see Personnel Management Overview.

  1. Log in to COC.
  2. In the navigation pane, choose Basic Configurations > Personnel Management.
  3. Click Add Federated User.
  4. In the displayed dialog box, set the federated user information.

    Parameter

    Description

    Username

    The username displayed on Huawei Cloud, which is configured in the IAM identity transition rule.

    The value must be the same as the virtual federated username configured in IAM. For details, see Creating an IdP Entity.

    Alias

    Alias of the current user.

    The name can contain a maximum of 64 characters, including letters, spaces, digits, hyphens (-), underscores (_), and periods (.). It must start with a letter, period (.), or hyphen (-).

    Identity Provider Name

    Identity provider name configured on IAM.

    You can view identity providers on IAM.

  5. Click OK.

    After the federated user is added, the user information is displayed in the user list. The username is in the format of identity-provider-name/username. For example, if the identity provider name set in 4 is coc-test and the username is coc, the displayed username is coc-test/coc.

    Note: The username can contain a maximum of 175 characters. Otherwise, the SMN subscription function cannot be used.

Selecting a Notification Method

Subscriptions let you select your preferred notification methods. If a user does not confirm the subscription message within 48 hours, the subscription confirmation link becomes invalid. After the subscription expires, the user can initiate a subscription again on the Personnel Management page.

  1. Log in to COC.
  2. In the navigation pane, choose Basic Configurations > Personnel Management.
  3. On the displayed page, locate the target personnel and click Subscribe in the Operation column.
  4. In the displayed dialog box, select a notification channel.

    • Only one notification method can be selected.
    • If a notification channel has been confirmed during subscription, the notification channel cannot be selected.
    • If all notification modes have been confirmed, the Subscribe button in the Operation column will be gray and cannot be clicked.

  5. Click OK.

    After the subscription, a confirmation message will be sent to you.

Modifying Personnel Information

  1. Log in to COC.
  2. In the navigation pane, choose Basic Configurations > Personnel Management.
  3. In the user list, select the user to be modified and click Modify in the Operation column. The page for modifying personnel information is displayed.
  4. Modify the personnel information by referring to Table 2 and ensure that the information is correct.

    After the contact information is modified, the system creates a message notification subscription for sending notifications to users in other scenarios.

    Alias

    Alias of the current user.

    Mobile Number

    Mobile number of a user.

    After the mobile number is saved, the system creates an SMS or voice notification subscription of SMN for the user. The subscription information is sent to the user's mobile phone through an SMS message. The subscription takes effect only after the user manually confirms two subscriptions.

    Email Address

    Email address of the user.

    After the Email address is saved, the system creates an Email subscription of SMN for the user. The subscription message will be sent to the user's Email address. The subscription takes effect only after the user confirms the subscription.

    WeCom

    Webhook URL of the WeCom group chatbot.

    After the settings, you can use WeCom without creating a subscription.

    DingTalk

    Webhook address of the DingTalk group chatbot.

    After the settings, you can use DingTalk without creating a subscription.

    DingTalk Key

    When a user adds a custom chatbot to a DingTalk group, the user can select Add Endorsement to verify the generated signature key.

    When a message is sent to DingTalk, DingTalk verifies the key. The message can be sent successfully only when the key is correct.

  5. Click OK.

    After personnel information is modified, the system needs to synchronize data. Wait for 10 minutes before performing service operations that trigger notifications. Otherwise, the notifications may become invalid because data synchronization is not complete.

Deleting Personnel Information

  1. Log in to COC.
  2. In the navigation pane, choose Basic Configurations > Personnel Management.
  3. In the personnel list, locate the personnel you want to delete and click Delete in the Operation column. A confirmation dialog box is displayed.
  4. In the displayed dialog box, click OK.

    Deleting personnel information from the personnel list will not delete the personnel configurations on IAM. To restore the personnel information, synchronize the personnel information manually or wait for the system to automatically synchronize the personnel information.
