Meeting Management
-
You can start an instant meeting or schedule a meeting on Huawei Cloud Meeting.
- Instant meeting: You can start a meeting at any time.
- Meeting reservation: You can reserve a video meeting for important personnel to attend it.
- Recurring meeting: You can schedule multiple meetings at a batch based on the required frequency (monthly, weekly, or daily) to improve the reservation efficiency. You can modify or cancel one or all recurring meetings.
- Cloud meeting room: When creating a meeting, you can use cloud meeting room resources. Based on the selected meeting resources, you can use either the meeting ID of the cloud meeting room (fixed ID) or a random meeting ID.
- Guest password: When creating a meeting, you can set a guest password.
- Participant scope: When creating a meeting, you can open the meeting to all participants, corporate users only, or invited users only. Only guests in the specified scope can join the meeting by using the meeting link or meeting ID.
- Participant invitation: You can invite participants from your corporate directory or by entering their email addresses.
- Automatic recording: When scheduling a meeting, you can enable automatic recording.
- Copying meeting details: After creating a meeting, you can copy the meeting details to invite others to the meeting.
- Meeting modification: Before a meeting starts, you can edit the meeting details at any time. You can modify the meeting topic, time, duration, type, participant scope, and whether to allow recording. You can also add participants. After you update the meeting details, all participants will be notified of the update by email.
- Meeting cancelation: You can cancel a scheduled meeting. All participants will receive an email notification. When they click the meeting link, a message is displayed, indicating that the meeting has ended or canceled.

Meeting Joining

On the Huawei Cloud Meeting client, you can join a meeting in multiple ways.
- Click or touch Join in the meeting list on the client home screen if you are invited to a meeting.
- Answer a meeting call if you are called to join a meeting.
- Use the meeting ID and password to join the meeting. You can obtain them from the email forwarded by the host or other participants.
- Click or touch the meeting link shared by the host or other participants to join a meeting.
- Join a meeting using the meeting ID and password on the login screen without login.
- Scan the QR code with the Huawei Cloud Meeting app to join a meeting.
- Use the Huawei Cloud Meeting app to scan the QR code on an IdeaHub and join a meeting using the IdeaHub.
- You can change your display name before joining a meeting.

Meeting Invitation

You can invite others to a meeting in multiple ways.
- Incoming call: Mobile app users can receive push notifications, ringtones, and vibrations.
- Email notification: When a meeting is scheduled, an email or email calendar notification can be sent to participants.
- Invitation: During a meeting, you can invite participants from the corporate directory or sharing meeting details or QR code.
- Meeting sharing: You can share the QR code and meeting details with others via email and WeChat.

Meeting Control
-
Huawei Cloud Meeting provides powerful multi-device meeting control capabilities. You can perform meeting control operations on Huawei Cloud Meeting desktop client and mobile app.
- Audio settings: During a meeting, you can enable or disable the microphone and speakers.
- Selecting an audio device: In the meeting settings, you can select a microphone or speakers and adjust the volume.
- Meeting control for the host: You can lock or unlock a meeting, lock sharing, set whether to allow participants to unmute themselves, relinquish or transfer the host role, broadcast a participant, disconnect or redial a participant, mute or unmute all participants, and end a meeting.
- Meeting control assistant: You can redirect from the Huawei Cloud Meeting client or management platform to the meeting control assistant page to perform off-site meeting control.
- Co-host: As the host, you can set a guest as a co-host to assist in meeting control.
- Other operations: You can enable or disable the microphone, speakers, and cameras, focus on a participant, view the participant list, apply to be the host, raise or put down your hand, and leave a meeting.
- Sharing: You can share the desktop, programs, and whiteboards, and annotate while sharing them, making brainstorming easier.
- Cloud recording: As the host, you can record a meeting on the cloud. The recorded content includes audio, video, and shared content. After the recording is complete, you can view and share the recordings on the My Recordings page of the Huawei Cloud Meeting Management Platform.
- Local recording: You can record a meeting locally and set the recording content and whether to record audio at the same time. The host can control the local recording permissions of participants.

Screen Layout

Huawei Cloud Meeting allows you to set the video layout during a meeting.
- Desktop client: You can click Layout to switch the layout between presenter view, gallery view, PiP view, floating view, side-by-side view, and broadcast continuous presence.
- Presenter view: The large screen displays the feed of the participant speaking loudest or the shared content. The small screen in the upper part of the window displays feeds of other participants.
- Gallery view: Multiple participants (up to 25 participants) are displayed on a single screen.
- PiP view: The large screen displays the feed of the participant speaking loudest or the shared content. The small screen displays your own feed.
- Floating view: The large screen displays the feed of the participant speaking loudest or the shared content. The floating window on the right displays feeds of other participants.
- Side-by-side view: The left screen displays the loudest participant or shared content, and the right screen displays other participants.
- Mobile app: You can flick left or right to switch the layout between the gallery view (up to 9 feeds on a single screen of a mobile phone and up to 16 feeds on a single screen on a tablet) and PiP view.
- Hiding participant statuses and names: If you enable this function, the name and microphone status of participants who enable the camera are not displayed.
- Hiding non-video participant: If you enable this function, participants who do not enable the camera are not displayed except when the host broadcasts such participants.
- Intelligent video sorting: If you enable this function, speakers and participants with videos are preferentially displayed.
- Landscape/Portrait mode: You can switch between landscape and portrait modes during a meeting on the mobile app.

Content Sharing

Huawei Cloud Meeting supports multiple sharing modes.
- Screen sharing: You can share all content on a screen.
- Program sharing: You can share a running program. Participants can only view the shared program, making the meeting more focused.
- Whiteboard sharing: You can share a whiteboard. You and other participants can annotate on the whiteboard to interact with each other in real time.
- Remote support: You can ask for remote support during sharing.
- Audio sharing: When sharing content, you can choose whether to share the audio of your device.
- Annotation: You can enable annotation for every participant during sharing.
- Dual-screen: You can enable this function when you use two monitors. Then you can view the video of the presenter and participants' videos on two monitors, improving remote communication experience.

Simultaneous Interpretation

Simultaneous interpretation is applicable to large-scale seminars and international meetings with multilingual requirements. To ensure the meeting effect, use the Huawei Cloud Meeting desktop client for simultaneous interpretation.
- Multiple simultaneous interpretation languages are supported. You can also customize languages.
- Interpreters can speak on a language channel.
- Participants can select a language channel to listen to the voice of interpreter.

Audio Settings

You can configure meeting audio settings as required.
- Feedback suppression: If you enable this function, the system automatically eliminates the harsh feedback sound to provide a better audio environment.
- Automatic muting when feedback is detected: Your microphone will be automatically muted when feedback is detected.
- Music and professional audio: If you require high audio quality, you can enable Music and professional audio. This function is available on the Windows client. Enabling it will disable built-in noise reduction and adding the original sound control button during meetings. It is not recommended in noisy environments or for general meetings.
- Pressing the space key to unmute: You can press and hold the space key to temporarily unmute, or double-tap the space key to quickly mute or unmute.
- Device detection: You can detect the sound effect of your microphones and speakers.

Video Settings

You can configure meeting video settings as required.
- Beautification: enabled by default and can be disabled at any time.
- Virtual background: You can use a virtual background suitable for a meeting.
- Video mirroring: When video mirroring is enabled during a meeting, you can horizontally flip your video.

Contacts

- External contacts: You can add or delete personal external contacts.
- Viewing a contact: You can view the detailed information about a contact in the address book.
- Favorite contacts: You can add contacts in the corporate directory to favorites.
- Corporate directory:
- You can view the organizational structure of your enterprise in the corporate directory.
- Searching for contacts by department: You can select an enterprise department to view its sub-departments or members.

General Settings

- Setting the profile picture
- Changing the password after logging in to the client
- Password reset: You can click Forgot password on the login screen to reset the password.
- Shortcut keys: You can set shortcut keys for opening the home screen of the client, activating search, and turning page in the gallery view, and allow the system to automatically detect shortcut key conflicts.
- Login: You can enable automatic client startup upon system startup, automatic upgrade, and automatic log collection.
- Feedback: You can provide feedback on problems and suggestions and upload images, videos, and logs in the feedback.
- Network detection: Before login, you can check your network status.
- Outlook plug-in: You can start, schedule, edit, and cancel meetings in Outlook, and send meeting invitations or changes to Outlook contacts, which is convenient and efficient.

- Whiteboard minutes: You can scan the QR code on an IdeaHub with the Huawei Cloud Meeting app to save whiteboard minutes, and then manage them in eMeetings.
- Historical meetings: You can query historical meetings over the past three months. You can view more historical meetings on Huawei Cloud Meeting Management Platform.

You can use Internet Explorer 11, Google Chrome 46, Firefox 41, or their later versions to access the Huawei Cloud Meeting Management Platform and enter your account and password for login.

Enterprise Administrator

- Dashboard: You can view the global resource usage of your enterprise.
- Department management: You can add one or more departments and manage the added departments.
- User management: You can add one or more users and manage the added users.
- Meeting room management: You can add and activate professional meeting devices, intelligent collaboration screens, and third-party meeting devices, manage bulletin board content and applications on IdeaHubs, and perform O&M monitoring.
- Cloud meeting rooms: You can manage cloud meeting room resources and them to hard terminals or users.
- External contacts: You can add and manage external contacts.
- Registration information: You can view the enterprise registration information and modify your enterprise name and address.
- Administrators: The super administrator of an enterprise has all administrator permissions and can add administrators to assist in enterprise management.
- Meeting management: You can view and manage ongoing meetings, upcoming meetings, historical meetings, and recordings, and configure enterprise-level meeting settings.
- Operation logs: Operation logs record all operations performed by users in an enterprise. Enterprise administrators can search for logs by operation object, type, result, account, or IP address.
- Advanced settings: You can set the privacy statement and sensitive words within your enterprise.

- My profile: You can manage personal information, including changing the profile picture, name, login password, and job title, bind or change the email address, and exiting the enterprise.
- Personal external contacts: You can add and manage personal external contacts.
- Meeting templates: You can create and manage personal meeting templates.
- Meeting settings: You can set personal meeting parameters.
- Feedback: You can click Feedback to report problems of meeting terminals and clients.
- Meeting management:
- You can start a meeting or schedule a common meeting or recurring meetings.
- For recurring meetings, you need to configure the frequency (by day, week, or month), recurrence pattern, start date, end date, and start time.
- You can manage historical meetings and recordings.

Meeting Control Assistant

- From Huawei Cloud Meeting Management Platform: You can access the meeting control assistant as the host without entering a password, or use the meeting ID and host password to access it.
- From the desktop client: You can access the meeting control assistant as the host during a meeting.

Controlling a Meeting
-
You can perform meeting control operations as the host on the meeting control assistant.
- Viewing meeting details: You can view the meeting topic, time, ID, password, scheduler, participants, and hard terminals.
- Ending a meeting
- Locking a meeting: You can lock a meeting. After a meeting is locked, participants cannot proactively join it. They can only be invited to the meeting by the host.
- Participant scope: You can specify who can join the meeting (all users, invited users only, and corporate users only). Only guests in the specified scope can join the meeting by using the meeting link or meeting ID.
- Muting or unmuting all participants
- Unmuting: You can allow participants to unmute themselves.
- Voice activation: If this function is enabled, the feed of the participant with the loudest voice is framed in blue on terminals or in the large feed.
- Starting or pausing cloud recording: You can start, pause, or stop cloud recording in a meeting.
- Sharing permissions: You can lock sharing, so only the host or participants invited by the host can initiate sharing.

Continuous Presence

The host can set continuous presence, broadcast continuous presence, and enable voice-activated continuous presence on the meeting control assistant.
- Setting continuous Presence
- You can customize a continuous presence layout and add participants to screens manually or automatically.
- You can add a participant to multiple screens.
- You can add multiple participants to a screen. The screen displays the added participants in turn.
- You can set the shared content to a screen.
- You can use the automatic continuous presence. The system automatically pushes continuous presence settings based on the participants' speaking and meeting joining sequences.
- Broadcast continuous presence: You can broadcast the preset or automatic continuous presence to all participants.
- Voice-activated continuous presence: On SIP devices, the video of the loudest speaker is framed in yellow. On soft clients (CloudLink series, PC clients, and mobile apps), the video of the loudest speaker is framed in blue.

Meeting Control on the Host

- Displaying participants in turn: If you start displaying participants in turn on the host's device, only one feed is displayed on the host's device, and the feed shows all participants one by one in turn at the interval you specified. Feeds displayed to guests remain unchanged.
- Displaying continuous presence (feeds of multiple sites) to the host

Meeting Control on Participants

- Adding participants: You can invite contacts in the corporate directory, hard terminals, and external contacts to the meeting using clients.
- Calling absent participants: You can call all invited guests who have not joined the meeting.
- Filtering or searching for participants: You can filter participants by device type (all, hard terminal, desktop client, mobile client, or others) or enter a participant name or account to search for participants.
- Giving the floor: If you give the floor to participant A and the host is in the meeting, all participants view the video of participant A, and the host and participant A are unmuted. If no host is in the meeting, all participants view the video of participant A, and the muting status of all participants remains unchanged.
- Broadcast: If you broadcast participant A, all participants view the video of participant A regardless of whether there is a host in the meeting. The muting status of all participants remains unchanged.

- Viewing the network quality of participants: You can view the network details of a participant, including the network quality of sending and receiving video, audio, and presentation.
- Renaming: You can change the name of a participant.

- Muting/Unmuting the microphone of a participant
- Calling a participant who has not joined the meeting
- Disconnecting a participant who has joined the meeting
- Lowering hands: When a participant is muted and cannot unmute themselves, the participant can raise hands to request speak permissions. When a participant is raising a hand, you can right-click the participant and choose Cancel Hand Raising to respond to the participant. If you allow the participant to speak, you can unmute the participant or give the floor to the participant.
