Configuring Report Subscription

A tenant administrator can configure report subscription to periodically send report data via email. This function can be used only in the integration environment.

The report data to be sent contains personal data. Exercise caution when processing the received report data to prevent personal data leakage and abuse.

Prerequisites

  • You have configured an email gateway. For details, see Configuring Email Gateways.
  • You have configured an email notification template. For details, see Configuring Notification Templates as an Administrator.
  • The system supports separate configuration of operation permissions in menus so that specific roles can have the permissions to query or operate configurations. If an operation permission is not configured, the corresponding operation button is not displayed on the page. For details about how to configure operation permissions, see Table 1.

Procedure

  1. Sign in to the AICC as a tenant administrator and choose Configuration Center > Quality Management > Report Subscription.

    • OU selection:
      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to Yes, OUs that can be selected are subject to the configured permissions.
        • Accounts without the View All Organization Data permission under System Public Permissions configured:
          • If the Viewing and Editing Home Organization Data and View Lower-Level Organization Data permissions under System Public Permissions are not configured, only the OUs specified by Accessible Organizations configured on the Employee Info/Organization Unit page can be selected.

            If accessible OUs are configured both on the Employee Info and Organization Unit pages, the permissions on the accessible OUs configured on the Employee Info page take precedence.

          • If the Viewing and Editing Home Organization Data permission under System Public Permissions is configured, the data under the OU (excluding sub-OUs) to which the current business account belongs can be viewed.
          • If the View Lower-Level Organization Data permission under System Public Permissions is configured, the data under the sub-OUs of the OU to which the current business account belongs can be viewed.
        • Accounts with the View All Organization Data permission under System Public Permissions configured: All OUs can be selected.
        • Operations supported for OU selection:
          • Include Sub-Organizations: When this option is selected, the sub-OUs of selected OUs are selected by one click.
        • The number of OUs that can be selected is specified by the value of the system parameter Maximum number of OU organizational unit queries on the Configuration Center > System Management > System Parameter > System parameters > Unified Public Configuration > Common page.
      • If the preceding tenant parameter is set to No, all OUs can be selected.
    • Enabled/Operation: These configuration items are controlled by the tenant parameter Has the tenant enabled inter-organization data isolation enforcement.
      • After the parameter is set to Yes, you can edit or delete a subscription task and configure whether to enable a report subscription task when any of the following permission configurations is met:
        • The following permission is configured for the roles configured for the current account: Edit All Organization Data under System Public Permissions > View All Organization Data, Viewing and Editing Home Organization Data under System Public Permissions, or Edit Lower-Level Organization Data under System Public Permissions > View Lower-Level Organization Data.
        • The write permission on the OUs specified by Accessible Organizations on the Employee Info page is configured for the current account.
        • The write permission on the OU specified by Owning Organization on the Employee Info page is configured for the current account.

        If none of the preceding permission configurations is met, a hyphen (-) is displayed in the Enabled and Operation columns for a report subscription task, and other operations are not supported.

      • After the parameter is set to No, there is no restriction on operations in the Enabled and Operation columns for a report subscription task.

  2. Click Create.

    • Subscribe Name (mandatory): Enter a customized subscription name, which can contain a maximum of 50 characters and must be unique.
    • Email Template Name (mandatory): Select the notification template configured in Configuring Notification Templates as an Administrator. One email template can correspond to multiple subscription data records.

      The options are specified by the tenant parameter Has the tenant enabled inter-organization data isolation enforcement.

      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to Yes, email templates that can be selected are subject to the configured permissions.
        • Accounts without the View All Organization Data permission under System Public Permissions configured:
          • If the Viewing and Editing Home Organization Data and View Lower-Level Organization Data permissions under System Public Permissions are not configured, only the email templates under the OUs specified by Accessible Organizations configured on the Employee Info/Organization Unit page can be selected.

            If accessible OUs are configured both on the Employee Info and Organization Unit pages, the permissions on the accessible OUs configured on the Employee Info page take precedence.

          • If the Viewing and Editing Home Organization Data permission under System Public Permissions is configured, email templates under the OU (excluding sub-OUs) to which the current business account belongs can be selected.
          • If the View Lower-Level Organization Data permission under System Public Permissions is configured, email templates under the sub-OUs of the OU to which the current business account belongs can be selected.
      • If the preceding tenant parameter is set to No, all email templates can be selected.
    • Sent Period (mandatory): Set the period for subscribing to reports. The options are Monday to Sunday.
    • Sending time (mandatory): Select the time for sending subscribed reports. The value ranges from 00:00 to 23:45 with a step of 15 minutes.
    • Organization Unit (mandatory): Select the organization to which the subscription task is sent.
      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to Yes, OUs that can be selected are subject to the configured permissions.
        • Accounts without the View All Organization Data permission under System Public Permissions configured:
          • If the Viewing and Editing Home Organization Data and View Lower-Level Organization Data permissions under System Public Permissions are not configured, only the OUs specified by Accessible Organizations configured on the Employee Info/Organization Unit page can be selected.

            If accessible OUs are configured both on the Employee Info and Organization Unit pages, the permissions on the accessible OUs configured on the Employee Info page take precedence.

          • If the Viewing and Editing Home Organization Data permission under System Public Permissions is configured, the OU (excluding sub-OUs) to which the current business account belongs can be selected.
          • If the View Lower-Level Organization Data permission under System Public Permissions is configured, sub-OUs of the OU to which the current business account belongs can be selected.
        • Accounts with the View All Organization Data permission under System Public Permissions configured: All OUs can be selected.
      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to No, all OUs can be selected.
    • Indicator organization unit: Select the OU to which the indicator data belongs. The options are specified by the tenant parameter Has the tenant enabled inter-organization data isolation enforcement.
      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to Yes, OUs that can be selected are subject to the configured permissions.
        • Accounts without the View All Organization Data permission under System Public Permissions configured:
          • If the Viewing and Editing Home Organization Data and View Lower-Level Organization Data permissions under System Public Permissions are not configured, only the OUs specified by Accessible Organizations configured on the Employee Info/Organization Unit page can be selected.

            If accessible OUs are configured both on the Employee Info and Organization Unit pages, the permissions on the accessible OUs configured on the Employee Info page take precedence.

          • If the Viewing and Editing Home Organization Data permission under System Public Permissions is configured, the data under the OU (excluding sub-OUs) to which the current business account belongs can be viewed.
          • If the View Lower-Level Organization Data permission under System Public Permissions is configured, the data under the sub-OUs of the OU to which the current business account belongs can be viewed.
        • Accounts with the View All Organization Data permission under System Public Permissions configured: All OUs can be selected.
        • Operations supported for OU selection:
          • Include Sub-Organizations: When this option is selected, the sub-OUs of selected OUs are selected by one click.
        • The number of OUs that can be selected is specified by the value of Maximum number of tenant organizations on the Configuration Center > System Management > Tenant Parameter > Tenant parameters > Unified Public Configuration > Common page.
      • If the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to No, this parameter is hidden.

      Subscription tasks created when the tenant parameter Has the tenant enabled inter-organization data isolation enforcement is set to No will fail. Therefore, you are advised to update the existing report subscription tasks after the parameter is set to Yes.

  3. Click and select reports to be subscribed to.

    • Report name: Select the report to be subscribed to. For details about the report data, see Report Query.
    • Report type: Select the type of the report to be subscribed to. The options are Daily report, Weekly report, and Monthly report.

    Select indicators of the report to be subscribed to as required and click OK.

  4. Click Save.
  5. The new report subscription information is enabled by default. You can click to disable the report subscription.
  6. (Optional) You can perform the following operations on the configured report subscription information:

    • Click Edit to update the basic information about the report and sending scope.
    • Click Delete to delete disabled report subscription information.

  7. (Optional) Create a perspective view based on the downloaded Excel report data.

    1. Select the data area to be used for creation.
    2. Click Insert, and then click PivotChart.
    3. Access the PivotChart, and click Field List and Field Button.
    4. Drag the filter criteria (agent ID, agent name, and date) to the axis (type) area and drag various indicators to the value area.
    5. Filter data by date and agent ID.
    6. By default, the chart is a bar chart. To generate a line chart, right-click the chart area, choose Change Chart Type from the shortcut menu, and then select the line chart.
