Uploading and Downloading Files Using KooDrive

KooDrive is an online service provided by Huawei Cloud for government and enterprise customers. It provides functions such as data storage, access, synchronization, management, and collaboration. It is a one-stop digital content center for enterprises and enables efficient knowledge collaboration.

During digital transformation, enterprises need to build a unified digital content management platform to implement efficient data transfer across departments. However, when employees use cloud storage, they may not be able to use it efficiently due to organizational structure configuration issues. After KooDrive is enabled and the organizational structure is configured, employees can store and share files on a unified platform.

This document describes how to enable KooDrive and optimize the organizational structure so that common employees can use KooDrive to upload and download files or folders.

Sign up for a HUAWEI ID and complete enterprise real-name authentication.

Step 1: Enable KooDrive

Enable the service first. Enabling a service does not need you to pay for it. The section describes the pay-per-use mode, in which services are provisioned first and then paid.

Step 2: Create an Organization and Configure an Enterprise Space

After the service is enabled, the basic information about the enterprise organization and space is not set. Enterprise tenants need to create an enterprise organization and complete basic service configurations.

Step 3: Create a Department and User

Enterprise tenants configure the organization, create departments, and add users.

Step 4: Use KooDrive

Enterprise employees use the upload and download files or folders.

Preparations

  1. Sign up for a HUAWEI ID and enable Huawei Cloud services. For details, see Signing Up for a HUAWEI ID and Enabling Huawei Cloud Services.
  2. After the registration, complete enterprise real-name authentication. For details, see Real-Name Authentication.

Step 1: Enable KooDrive

  1. Sign in to the KooDrive console as an enterprise tenant.
  2. On the overview page, select Enable Now.
  3. Configure parameters.

    This section describes only the necessary parameters. For details about the parameters, see Enabling KooDrive.

    KooDrive resources in different regions cannot communicate with each other over an intranet. For lower network latency and faster resource access, select the nearest region.

    Click the drop-down list to switch between regions. Note that the region you select will be used to store all file data. The region cannot be changed after being selected and submitted.

    Billing Mode

    Pay-per-use

    The service's billing mode.

    In this example, pay-per-use is selected. That is, you are charged based on the actual usage of the selected billing items.

    Users

    5

    Total number of users.

    The value set here is used only for displaying fees. You can add users further. Set this parameter as required. The minimum number of users is 1, and the maximum is 20,000.

    Storage

    100 GB

    Total size of the purchased storage.

    The space size set here is used only for displaying fees. It does not affect your actual storage usage. Set this parameter as required. The minimum value is 1 GB, and the maximum is 95 PB.

    Price

    $0.0102 USD/hour

    Price of the selected configuration. Actual charges are reflected in your bill.

  4. After setting the parameters and confirming the fee, select Buy Now.
  5. On the Confirm Order page, check order details and select I have read and agree to the KooDrive Service Statement.
  6. After confirming that the information is correct, click Create.

    You do not need to pay for the pay-per-use orders.

Step 2: Create an Organization and Configure an Enterprise Space

  1. On the KooDrive console, click Settings. On the displayed page, click Create Organization.

  2. On the displayed page, enter an organization name. A name contains 1 to 60 characters, including letters, digits, and valid special characters.

  3. Set the organization domain name.

    Content following "www" in a URL (for example, example.com in www.example.com) or following "@" in an email address (for example, example.com in username@example.com).

    This example does not describe how to set a domain name.

    1. Enter an abbreviation of an organization name. The abbreviation contains 2 to 30 characters, including letters, digits, periods (.), hyphens (-), or their combinations, for example, abc. The abbreviation is suffixed with .orgid.top.
    2. Click Create. After the page is loaded, the system automatically switches to the Settings page.

  4. On the Settings page, view the resource usage. Table 2 describes the parameters.

    The space is not used after the first subscription. Therefore, 0 GB used is displayed in this example.

    Users

    Total number of created users.

    No user is created after the first subscription. Therefore, 0 users created is displayed in this example.

  5. Configure the default KooDrive settings. In this example, only mandatory parameters are described. Retain the default values for other parameters. For details about the parameters, see Creating an Organization and Configuring KooDrive.

    The system administrator can set the individual space capacity, for example, 100 GB. After the setting, 100 GB of individual space is automatically allocated to the newly created user.

    In this example, the billing mode is Pay-per-use. The default value is 0 GB. Click to change the default size of the individual space to 1 GB and click .

  6. Check the KooDrive subscription details and the current order information.

  7. After the configuration is complete, click Go to App in the upper right corner to go to the KooDrive service page. On this page, you can complete the enterprise organizational structure.

Step 3: Create a Department and User

  1. Sign in to the KooDrive service plane as a system administrator. The service plane consists of the console and user center.
  2. Click Console on the top of the page to go to the console and complete the enterprise organizational structure.
  3. In the navigation pane, choose Organization Management and click . The Create Dept dialog box is displayed.

  4. Configure basic information and a team space. In this example, only mandatory parameters are described. Retain the default values for other parameters. For details about the parameters, see Organization Management.

    The department name must be unique and mandatory, with a maximum length of 20 characters, including letters and symbols. In this example, set it to aaaa.

    Upper-Level Dept

    After the organization is created, the system automatically creates a level-1 department using the name of the organization. All departments created later belong to this department.

    In this example, the organization name is abc. Therefore, select abc.

  5. Click OK. After the organization is created, the new organization name aaaa is displayed in the organization tree.

  6. Click Create User above the user list and enter user information by referring to Table 6.

    Password set by the administrator for the user. Option: Generate automatically or Set now. Generate automatically: The system will send the password to the specified email address or mobile number.

    In this example, select Set now. A custom password must meet the following requirements:
    • Contains at least eight characters.
    • Contains both letters and digits, and does not contain spaces.
    • Does not contain three consecutive identical characters.

    Common users need to change the password upon the first login.

    Dept

    aaaa

    Select the department to which the user belongs from the drop-down list.

    If you select the level-1 department, the created user is a direct user of this department. In this example, select aaaa, that is, the department created in 4.

    Role

    Common user

    Two roles are provided: common user and department administrator. For details about the role permissions, see Fine-grained Permissions.

    Allocate Individual Space

    Whether to allocate an individual space to the user.

    The administrator can adjust whether to allocate an individual space.

    In this example, this parameter is enabled by default because it has been enabled during 5.

    Individual Space Size

    1 GB

    Size of the individual space that can be used by a common user.

    The common user must have an individual space to upload and download files. The administrator can adjust the individual space size.

    In this example, the default individual space size set in 5 is 1 GB.

  7. Click the confirm button. The user information is then displayed under the corresponding department. The created user is Not activated. After the user uses the new account and password to log in to the KooDrive service plane, the user is automatically activated and its changes to Normal.

Step 4: Use KooDrive

  1. Sign in to the KooDrive service plane. To log in as a common user, use the managed HUAWEI ID applied by the administrator for you on the console.

    In this example, the account and password created in Table 6 are used for login.

  2. Go to the file list page of the individual space.

    In the navigation pane, choose My Space. The file list of your individual space is displayed.

  3. Upload files. This example demonstrates how to upload files. You can also upload folders. For details, see Uploading a File or Folder.

    On the file list page, click Upload. Select File. Select multiple files to be uploaded from the local PC. In this example, 11 files are selected. Click Open to upload the files.

    The red badge indicates the total number of tasks that are being uploaded or fail to be uploaded in the statistical period.

    Click the icon. The upload dialog box is displayed in the lower part.

    Uploading (a/b)

    a indicates the number of successfully uploaded tasks in the statistical period.

    b indicates the number of upload tasks within the statistical period.

    Cancel All

    Cancels all tasks that are to be uploaded or are being uploaded.

    0B/S

    Real-time file upload speed.

    0%

    Real-time file upload progress.

    Click this icon to stop the uploading progress.

    Click this icon to cancel the uploading progress.

    If a file fails to be uploaded, click to upload the file again.

    After the files are uploaded, click this icon to check the destination location of the uploaded files.

    When the icon of the files disappears and changes to the icon, the files are uploaded.

  4. Download files. This example demonstrates how to download a file. You can also download files in batches. For details, see Downloading a File or Folder.

    On the file list page, click Download in the row of the file to be downloaded. You can view the downloaded file in the download content of the browser.
