Creating Custom Work Items

Custom function pages are related to the function pages selected in Configuring Function Page Templates. The following uses the function security page as an example.

Prerequisites

You have permissions to create (clone) custom work items.

Creating a Custom Work Item

  1. On the project homepage, select a custom function page. For example, if the custom function page is named Function Security, select the Function Security page.
  2. Click the icon to create a top-level work item. If the page contains multiple top-level work item types, you can select one type to create. For example, if the page contains SG, FSR, and TSR, click the create icon and select the create SG option from the drop-down list.
  3. Enter the basic information about the work item type.

    Parameter

    Description

    Tag

When creating or editing a work item, you can add a custom tag.

Tag names can be marked in different colors.

    Title

Name of the work item (SG) to be created.

    Description

Enter the background, value, and details of the work item based on project requirements.

The description can include texts, images, or links.

    Attachments

A maximum of 100 attachments can be added to each work item (SG), and their total size cannot exceed 500 MB.

    Responsible Project

Project that the work item (SG) to be created belongs to. The value cannot be changed.

    Owner

Member who is responsible for this work item. Only one person can be specified.

    Priority

Priority of the work item to be created. The options are Low, Medium, and High. The default value is Medium.

    Planned Workload

Estimated workload from the planned start time to the planned completion time for this work item.

    Order

    Order.

    Story Point

Story point estimation is used for agile development.

The parameter names and quantities of the work item type are the same as those of the fields configured for the work item type in Configuring Work Item Type Templates. The parameter names and quantities vary according to the configuration.

  4. Click OK. The custom function page is displayed, and a message is displayed in the upper right corner, indicating that the work item type is created successfully. For example, if the work item type is SG, the message "SG created" is displayed.

The new work item type is displayed in the list of the custom function page. For example, the new work item SG is displayed in the Function Security list, and its status is Initial.

After a work item is created, the person selected for Owner will receive internal message notifications. If not, set or modify notification settings by referring to Configuring Notification Rules.

Related Operations

You can perform the following operations on a new custom work item.

Table 1 Basic operations on a new custom work item

Operation

Description

Modify title

Click next to the title of a new custom work item to modify the value.

Modify field

Click the target field value in the row of a new custom work item to modify the value.

Break down work item

Click in the Operation column of a new custom work item to break it down.

Click Add Child Work Item in the Break Down Child Work Item dialog box to break down child work items in batches. A maximum of 10 child work items can be broken down at a time.

The work item types available for breakdown are related to the parent-child relationship of work items configured in Configuring Work Item Type Templates.

View association map

Click under in the Operation column of a new custom work item to view all data of its associated items in the association map.

Duplicate custom work item

Click under in the Operation column of a new custom work item to quickly duplicate it. The process of duplicating a new custom work item is the same as that of creating a custom work item.

Delete custom work item

Click under in the Operation column of a new custom work item to delete it.
  • Custom work items in change or baseline review cannot be deleted.
  • Deleted custom work items are moved to the recycle bin. Custom work items in the recycle bin can be restored and permanently deleted. After a work item is restored from the recycle bin, it restores to the original status.
  • Restoring a child work item also restores its parent on the work item path but does not restore its siblings under the parent.

Copy custom work item link

Click in the Operation column of a custom work item to copy its title, ID, current owner, status, and link to the clipboard.

Migrate custom work item

On the custom work item details page, click and select Migrate from the drop-down list to migrate the work item to another project.

  • Work items that have been baselined, completed, or are currently under baseline review or change review cannot be migrated.
  • Batch migration is based on the selected top-level work item types. Top-level work items can be migrated across projects, and non-top-level work items can be migrated within a project.
  • Work items and their child work items will be migrated together.
  • After cross-project migration:
    • The work item will be re-executed.
    • The actual workload, associated item (except collaborative work item), label, and release sprint fields will be cleared.
    • If the upstream and downstream projects of the corresponding work item are not configured in the target project, the collaborative work item is cleared.
    • Custom fields of the work item in the source project are discarded, and custom fields of the work item in the target project are displayed.
