We collect your personal data in the following scenarios.

1.1 Personal Data You Provide

We collect and process your information as a controller in the following scenarios.

1.1.5 Service Optimization and Security

To ensure your use of our services, maintain the normal operation of our services, maintain the security of our products, optimize your service experience, and improve service stability, we will perform the following operations:

(a) When you use the Huawei Cloud Meeting client, we will collect your device information (SN, MAC address, Android ID, UDID, IDFV, BIOS ID, and GUID), running process information, Internet status, system information (such as system settings, system attributes, device model, OS, and IP addresses), terminal model, carrier information, Wi-Fi information (Wi-Fi status and parameters), audio and video device information (Bluetooth list, Bluetooth name, and speaker and camera status), event information of using the Huawei Cloud Meeting client (network quality data, such as bandwidth, packet loss rate, number of abnormal packets, network access information, and event name, such as error and upgrade), log information (such as the IP address and user click behavior), audio and video quality data (such as the volume and packet loss rate), site number, site URL, and meeting ID. The audio and video quality data does not contain your call content. If you do not want Huawei Cloud Meeting to collect and analyze the preceding log and event information, you can disable Collect logs under Settings in the Huawei Cloud Meeting client.

(b) If you enable the fault diagnosis information collection function when you use a meeting device (such as IdeaHub and Board) or intelligent collaboration device, we will collect diagnosis data (such as device error information) and log data (including the IP address, SN, ESN, site number, site URL, and meeting ID). You can disable the corresponding function under System Settings > Server > TR069 > Collect fault diagnostics info or System settings > Basic settings > Collect troubleshooting logs. If you are the enterprise administrator of the IdeaHub or Board, you can withdraw the authorization of automatic collection.

1.1.6 Connection

When you use Huawei Cloud Meeting, we will collect your IP address to connect you to our server. If you refuse to provide the IP address, you will not be able to use our service. To help you check and diagnose your connection to this Service, we will collect information about your wireless network and Internet connection status, as well as whether you are authorized to connect to this Service and its network.

1.2 Personal Data We Process When You Use Specific Functions

When you use the following functions, we are entrusted by an enterprise or organization to process your personal data. The enterprise or organization is the controller and we are the processor. If you do not want Huawei Cloud Meeting to process your personal data of related functions, contact your enterprise or organization.

1.2.1 Account Management

When your enterprise administrator creates a Huawei Cloud Meeting account for you, we will process the name, email address, department, job title, account, password, and remarks entered by the enterprise administrator to authenticate your identity. After Huawei Cloud Meeting is enabled, a device number (also called SIP number) will be generated for you. It is used only as a communication identifier in Huawei Cloud Meeting.

1.2.2 Account Login

a) When you log in, we will process your account data (such as the account name and authentication credential) to verify your identity.

b) When you access the Internet through a proxy, we will process the proxy server address, account, and password you entered to connect to the Internet. We only store the data locally on your device and will not upload the data to the server.

c) After login, you can modify your personal data, including your profile picture.

1.2.3 Creating or Initiating a Meeting

When you create or initiate a meeting, we will process your meeting topic, participant names, participant email addresses, department names, host/guest password, and meeting description for creating the meeting. You can also save the preceding information as a meeting template.

1.2.4 Joining a Meeting

When you join a meeting, we will process your authentication information (meeting ID, password, or link) and participant information (participant name) for identity verification.

1.2.5 Audio and Video Meetings

When using this function, we will process your information as the processor of the meeting host. You need to grant us the camera and microphone permission. We will collect and forward your audiovisual streams to other participants at your discretion. Audiovisual streams will not be retained on the server, unless cloud recording is enabled. Before joining a meeting, when scheduling a meeting, or during a meeting, you can disable the camera or microphone to protect your privacy.

After the phone permission is granted, if you make or receive a call during a meeting, the meeting speakers and microphone will be disabled to avoid affecting your call quality and transferring the call audio to the meeting. After the call ends, the speakers and microphone will be enabled again. This permission only allows us to read information such as device identifiers of your phone. We will not listen to or obtain any call content.

To use the beautification function, you must grant us the camera permission. We must process some of your facial features locally to achieve the beautification effect. We will only process facial features offline on your local device, and will not upload, store, or share such information with third parties. Facial information is sensitive personal data.

When you are in non-speaker or Bluetooth mode during a meeting, the distance sensor of your device will be invoked to determine whether your phone is lifted to your ear. If your phone is lifted to your ear, the screen will be turned off to prevent misoperations. In addition, if you enable the camera in an audio or video meeting, we will also obtain information from the screen direction sensor to correct the video orientation.

When you use an Android device to scan and connect to nearby Bluetooth devices, we require the Bluetooth connection permission (classified as the nearby devices permission group) to communicate with the Bluetooth devices during a meeting or call.

To receive meeting notifications in real time and provide better user experience, this Service pre-installed on SmartRooms meeting screens will automatically start in the backend.

1.2.6 Desktop Sharing

When using this function, we will process your information as the processor of the meeting host. We will process the screen information (including whiteboard annotations and program information) that you share with participants. Unless you start recording, we will not store the data on the server or your device.

1.2.7 Meeting Control

When using this function, we will process information about temporary participants (including names, email addresses, and departments) added by you and store the information in historical meeting records.

1.2.8 Recording

Cloud recording: The meeting host can enable or disable recording. When recording is enabled, the REC icon is displayed in the upper left corner of the meeting screen, and a message is displayed. If you do not agree to record the meeting, you can leave the meeting. After the recording is complete, we will process the meeting topic, scheduler, start time, duration, and recording file size to generate recording information. The information and generated files are encrypted and stored on the server. The meeting host can view the recording information and manage and delete the recording files on the Management Platform. If a recording file link is shared, we will process the access password you configured to ensure the access security of the recording. The preceding mechanism applies to any scenario where Huawei Cloud Meeting provides the recording service.

Local recording: By default, only the meeting host can enable local recording. The host can choose whether to authorize participants to use local recording. When this function is enabled, the REC icon is displayed in the upper left corner of the meeting screen, and a message is displayed. If you do not agree to record the meeting, you can leave the meeting. If an authorized user (meeting host or an authorized guest) completes local recording, the generated files are stored on the user's device. The user can control the recording files.

1.2.9 Chat During Meetings

When using this function, we will process your information as the processor of the meeting host. We will process the text information you send in real time to participants you communicate with. During a meeting, the meeting host and co-hosts can export chat records to their devices. After the meeting ends, the chat data will be deleted from the server.

1.2.10 Virtual Backgrounds

You can enable or disable the virtual background function during a meeting. To enable the virtual background function, you need to grant us the camera and storage permissions. The virtual background image you added and video streams captured by the local camera will be combined and displayed to participants in the meeting.

1.2.11 Continuous Presence Backgrounds

When using this Service, you can set a background image for continuous presence as the meeting host. We will process the background image you uploaded, image name, and temporary image access address, and apply the background image to the continuous presence scenario in the meeting. After the meeting ends, the data will be deleted.

1.2.12 Historical Meeting Records

After a meeting ends, we will save your meeting records, including the start time and end time of the meeting, meeting ID, topic, attendance records (including the name, department, email address, time of joining and leaving the meeting, number of attendance times, and in-meeting duration of each participant), and poll records, so that the meeting scheduler can view the information about the created meeting. If you are the scheduler, you can log in to the Huawei Cloud Meeting Management Platform to export the preceding information about a historical meeting.

1.2.13 Contact Management

To provide the contact management function for your enterprise/organization and allow end users (employees and members) to view internal and external contacts, quickly create meetings, and invite others to meetings, we will process and process different personal data based on the configuration and requirements of your enterprise/organization. The information includes the name, soft client number/SIP terminal number, email address, personal address, company name, department, job title, and remarks of contacts.

1.2.14 Meeting Terminals or Intelligent Collaboration Devices

If this Service is offered for your purchase of a Huawei Cloud Meeting hardware product (such as SmartRooms, IdeaHub, Board, and third-party meeting terminals or intelligent collaboration devices), we will process your personal data when you use the following functions:

a) When your enterprise administrator configures the hard terminal name, SN, department, email address, and remarks, an activation code is generated and sent to the configured email address. When you enter the activation code or use the Huawei Cloud Meeting app to scan the QR code for activation, we will obtain the SN, MAC address, IP address, BIOS ID, and name of the meeting device to confirm the device identity and activate this Service.

b) Whiteboard minutes storage. We will obtain the whiteboard content you choose to upload. The whiteboard content is stored in your personal space for future reference.

c) Projection. We will process the MAC address, IP address, and name of your device to generate a projection QR code. You can use the Huawei Cloud Meeting app installed on your mobile phone to project your audio and screen on a meeting device. The data will not be stored on the server. Projection is provided by IdeaShare SDK of Huawei Cloud Computing or EShare SDK of a third party. For details, see "6 How We Share Your Personal Data."

d) Bulletin board. If you are an enterprise administrator, we will obtain the news feed you upload to share with other individual users in your enterprise.

e) System upgrade package check. We will process the IP addresses and SNs of IdeaHub, Board, or intelligent collaboration devices produced by Huawei to identify the addresses for pushing upgrade packages and implement security control. If you do not want us to process the data, you can disable the automatic update function on your devices. If the automatic update function is disabled, you must manually upgrade the system according to the device guide.

f) Whiteboard sharing. When using this function, we will process the whiteboard content that you share with participants.

You have the right to request your enterprise/organization to suspend any unauthorized use of your account or password. No security measure is perfect and no product, service, website, data transfer, computing system, or network connection is absolutely secure.

3.2 Event notifications. To deal with possible risks, such as personal data leakage, damage, and loss, we have developed several mechanisms and control measures, clearly defined the rating standards of security incidents and vulnerabilities and corresponding processing procedures, and established a dedicated Security Advisory and Security Notice page. We have established a dedicated emergency response team to implement security planning, loss reduction, analysis, locating, and remediation, and to perform tracking operations with related departments based on security incident handling regulations and requirements.

In the event of a data breach on your personal data we collect, store and process, we will inform you or the relevant authorities by publishing an announcement on the Huawei Cloud website, or by sending you an email according to the requirements of applicable laws and regulations.
